The Chadron State College Inventory Department is responsible for maintaining an accurate and current record of all non-expendable personal property and movable equipment that meet specific criteria. This is accomplished through effective teamwork and communication throughout departments in accordance with Nebraska State College System Board Policies 6014 and 6016.

As outlined by Board Policy 6014 – Tangible personal property that is no longer needed by a department of the College shall first be made available to other departments at the College. Surplus items will be deemed to have no value when they are transferred between departments, therefore the selling of items between departments will be prohibited. If no other College department is interested in the surplus property, the property should be offered first to the other Colleges and the System Office. Any surplus property from the 
System Office will be first offered to the Colleges.

Sale or Trade of Surplus Property
If the other Colleges or System Office are not interested in surplus property, then the items may be sold or traded. Revenues from the sale of surplus property, less standard commission/sales costs, will be deposited in the appropriate funds, as directed by the President, Vice President for Administration and Finance, Chancellor or Vice Chancellor for Finance, as appropriate. All items will be sold “as is” with no return and/or refund.

Chadron State College chooses to utilize E-bay for all public auctions. Each item’s auction runs for 10 days. Please be aware that CSC does not offer shipping therefore each item must be picked up from campus. Deal of the Day

As outlined by Board Policy 6014 – Tangible personal property that is no longer needed by a department of the College shall first be made available to other departments at the College. This is achieved by the publishing of “Deal of the Day”.

Deal of the Day is generally emailed to all employees throughout the year and includes a photo of the surplus property. Employees will be given a specific time period in which to claim the item by responding to the email sent by cscinventory@fenxiong.net. Large items not claimed within this time period will be moved to surplus.

Office supplies and smaller items such as paper trays, pencil sharpeners, etc. (at the discretion of the inventory employees) are not eligible for surplus. Though these items are not eligible for surplus, please feel free to contact Inventory so they can be sent out for Deal of the Day. In the event the item is not claimed, it will need to remain in the current building for future use.

Please be aware that once an item is moved to surplus, it will will be available to other departments to utilize. Smaller items must be picked up by the person requesting the items on Deal of the Day. Occasionally, a work order will be issued to move heavier/bulky items. In addition, it is important to know that once an item is moved to surplus it becomes eligible for disposal and may not be stored for future use.

Annual Inventory

In accordance with Nebraska State College System Board Policies 6014 and 6016, annual inventory of all state-owned, non-expendable personal property and moveable equipment meeting specific criteria must be completed.

Annual inventory of capital assets (property valued at $5,000.00 and above) and items considered “high risk” for theft will be completed annually during the spring semester. Inventory will provide each Building Manager with worksheets for each responsible party in their department(s). Once received, the responsible party is to complete the worksheet and return it to the Building Manager and/or their Office Assistant prior to the end of the spring term.

It is important that the responsible party verify all information listed on the worksheet is correct. This includes the room number, serial number, etc. In addition, if you have items that are no longer in your possession please indicate who is now the responsible party. Any new items not listed on the worksheets should be added.
